How to plan a trip with a trip planner

How to plan a trip day by day with a trip planner. Set the frame, start from scratch, an AI draft or a file, build each day on the map, add stays and forwarded bookings, plan together, and get ready for the road with Sancharees.

The short answer: to plan a trip with a trip planner, start with the frame (where, when, who), then build it day by day on a map: add the stops for each day, set where you sleep each night, check the travel time between stops, and attach your bookings so everything lives in one place. Share the plan with the people travelling with you. This walkthrough shows how to do each step in Sancharees, a map-first trip planner, from a blank trip, an AI draft, or an itinerary file you already have.

Step 1: Set the frame

Before you add a single place, decide three things: the countries or regions, the dates (or just the number of days), and who's coming. In Sancharees, a new trip asks for a title, countries and a date range; you can also create trips for past journeys to record where you went. Everything else hangs off the days you set here.

If your dates change later, Shift dates… moves the whole trip (or a day and everything after it, for a delayed flight) along with its stops and bookings, and shows a preview of what moves before you confirm.

Step 2: Choose how to start

  • From scratch: add places day by day (best when you already know the route).
  • From an AI draft: Plan a trip asks for your destination, dates, pace and interests and drafts a day-by-day plan with real places, suggested stays and transport between cities. If you've built trips yourself before, Plan it the way I travel shapes the draft like them: stops per day, distances, nights per stay. Treat it as a first draft to edit.
  • From a file: already have an itinerary from a travel agent or a friend? Import from a file reads a PDF, photo, Word, Excel or text file into days, stops and bookings, and nothing is saved until you've reviewed and confirmed it.
  • From someone else's trip: on a shared trip page, Use this itinerary copies it into your own trips as a private, editable copy.

Step 3: Build each day on the map

  1. Open a day and use Add a place to search for stops: sights, restaurants, viewpoints, stations. Each appears as a numbered pin in the day's colour.
  2. Drag stops into the order you'll visit them; the map draws the route as you go.
  3. Set the travel mode for each leg (walk, cab, drive, train, bus, ferry or flight). Road and rail times are estimated and labelled as estimates; if you know the timetable, enter the real transit time.
  4. Watch for the packed-day warning: a day with too many stops or too much travel is flagged so you can move something to another day.
  5. Keep ideas you haven't scheduled in Places to visit, and add them to a day when you're ready.

Step 4: Decide where you sleep

Add each hotel, homestay or campsite as a stay. The day timeline then shows the ride from last night's hotel to the first stop and back to tonight's, so the day's real length is visible. One hotel shows as one bed pin on the map, even across several nights.

Step 5: Put your bookings in the plan

Bookings are what turn a plan into a trip. In Sancharees you can add flights, hotels, trains, buses, ferries, car hire, activities and documents by hand, or forward the confirmation emails:

  • Every trip has its own forwarding address, and you also get one personal address under My trips → Forwarding that files bookings into the right trip (or starts one).
  • Forwarded bookings arrive as drafts to review: flight times are kept in the airports' local time, hotels are placed on the map, and attachments such as tickets and vouchers stay with the booking.
  • Bookings appear on the right day of the timeline, so on Day 4 you see that morning's train and that night's hotel.

Step 6: Check the weather and the details

Each day shows the forecast when it's about a week away, and typical weather for those dates further out. At a glance gives a one-line summary of every day (date, location, highlights and stay) handy for spotting gaps.

Step 7: Plan together

  • Invite people by email as editors or viewers. Editors' changes show up for everyone without a reload.
  • Everyone on the trip can vote 👍 or 👎 on places, then sort ideas by most votes and add the top picks to a day.
  • To share with family who just want to follow along, set the trip to Unlisted and send the link; Private keeps it to members, and Public lists it openly.

Step 8: Get it ready for the road

  • Offline: install Sancharees on your phone and open the trip before you leave, the last version you opened stays readable offline (view only).
  • Google Maps: open each day's route in Google Maps for navigation, or export the trip as a KML file for Google My Maps.
  • PDF: download an itinerary PDF with the day plan and booking details for printing or emailing.
  • Change of plan: Ask AI to change the plan takes a request such as "make Day 3 lighter" and returns changes you can preview and tick before applying, with one undo.

Tips for a better plan

  • Plan one area per day; travel time is usually the thing that ruins a day.
  • Leave one light day every three or four days.
  • Put fixed-time things (tours, trains, timed entries) in first, and fit the rest around them.
  • Keep the plan and the bookings in the same place, so nobody has to dig through emails at the airport.
